Telephone Features

On Campus Resident Telephone Key Features

ROLM Phone - General

Since there are many features that the ROLM phones are capable of, people can get confused as to how to use them. Features on the phone can be accessed by using pre-programmed buttons or a code using the number pad.

HOLD

HOLD allows you to temporarily hang up a line without disconnecting your caller. To make a second call, see CONSULTATION CALL.

  1. press HOLD
  2. Hang up.

To reconnect:

  1. Press the line button of call on hold.
  2. Pick up receiver.

TRANSFER

TRANSFER (XFER) allows you to transfer a call to another extension.

  1. Press XFER
  2. Dial extension.
  3. Announce caller.
  4. Hang up.

CONNECT

CONNECT (CNCT)To reconnect with a transferred call or alternate between parties, press CNCT.

CALL FORWARDING

CALL FORWARDING (FORWD) allows you to have your calls ring at another extension.

  1. Get dial tone.
  2. Press FORWD or # 9.
  3. Dial extension.
  4. Hang up.

To cancel:

  1. Get dial tone
  2. Press FORWD or ## 9.
  3. Hang up.

TO TRANFER YOUR LINE INTO PHONEMAIL

     1. # 9 7070 hang-up and your light will be flashing

TO CANCEL FORWARDING TO PHONEMAIL

      1. # # 9 hang-up the light will stop flashing

TO TRANSFER A CALLER INTO SOMEONE'S PHONEMAIL

      1. Transfer (XFER) 7070 Extension # Hang-up

CALLBACK CAMP-ON calls you back with a long ring when the busy extension becomes free.

  1. Listen for busy signal.
  2. Press CAMP or FLASH # 1.
  3. Hang up.

To cancel:

  1. Get dial tone.
  2. Press CAMP or ## 1.
  3. Hang up.

CAMPING on a busy line if you drop into PhoneMail.:

  1. Listen for PhoneMail greeting
  2. Press # 1.

CONSULTATION CALL

CONSULTATION CALL allows you to make a second call on your line by putting the first caller on temporary hold.

During a call:

  1. Press FLASH
  2. Dial extension or dial 9+off-campus number.
  3. To reconnect with first party, press CNCT.

FLASH

FLASH places a call on temporary hold to allow the user to make a CONSULTATION CALL or to use in conjunction with the corresponding feature code to perform a function.

INTERCOM

INTERCOM (INTCM) permits members within an intercom group to use two digit codes to open the speaker on another group member’s phone.

  1. Press INTCM or ** 6.
  2. Press 5 + two digit intercom code.

PICK-UP

PICK-UP (PICK) allows you to answer a call to another extension from your own extension. This feature also permits picking a call on hold.

  1. Get dial tone.
  2. Press PICK or * 3.
  3. Dial number of ringing or holding extension.

PICK-PICK allows you to pick up a call to an extension in your pick group from your own extension.

  1. Get dial tone.
  2. Press PICK twice or ** 3.

SAVE/REPEAT

SAVE/REPEAT (SVRPT) allows you to save a number you have dialed so you can repeat the number.

To save a number:

  1. Get dial tone.
  2. Dial 9 and outside number or extension.
  3. Press SVRPT or FLASH # 4.

To repeat your saved number :

  1. Get dial tone.
  2. Press SVRPT or # 7.

SPEAKER

The speaker is one-way (listen only) for all 120 and some 240 phones and two-way for all 240 and 400 phones. To use the speaker press your line button to make a call.

To transfer a call from the handset to the speaker:

  1. Press SPKR
  2. Hang up.

BAD LINE REPORTING

If you are experiencing static or other disturbances on your line:

  1. Press FLASH *563.

REPERTORY DIALING

REPERTORY DIALING allows you to set a repdial button to automatically dial a number to perform a feature, or to create a sequence combining autodialing and features.

  1. Get dial tone.
  2. Press SET or * 566.
  3. Press desired repdial button.
  4. Key in digits and feature buttons for desired sequence.

NOTE: to enter a delay to allow processing time press HOLD (each HOLD will enter a three second delay).

  1. Hang up.

To make a repdial call press desired repdial button.

PROGRAMMING REPDIAL FOR PHONEMAIL DIALING

If you have any repertory dialing buttons (REP DIAL), you can program one of them to dial the sequence to get into your PhoneMail box ONLY IF you have a HOLD button. To program a REP DIAL button:

  1. Get dial tone
  2. Press SET or * 566
  3. Press desired repdial button
  4. Dial your PhoneMail Access number
  5. Press HOLD #
  6. Dial your password
  7. Press # again
  8. Hang up

When you are ready to call PhoneMail:

  1. Get dial tone
  2. Press the REP DIAL button

TONE/VOLUME ADJUSTING

SET RING TONE allows you to set your ring tone from the lowest (1) to the highest (8).

  1. Get dial tone.
  2. Press * 572 + Digit (1-8)
  3. Hang up

TO ADJUST RING VOLUME: Slide adjuster located on the bottom or side of the phone.

TO ADJUST VOICE VOLUME: Use the volume up and down keys. Press the key and hold it down to reach the volume desired.

MESSAGE WAITING

MESSAGE WAITING (MSGWT) can be programmed to call an extension. To program it for PhoneMail:

  1. Get dial tone.
  2. Press ## 30.
  3. Enter your PhoneMail access number even 8080 and odd 8090
  4. Hang up.

To call PhoneMail:

  1. Get dial tone.
  2. Press MSGWT.
  3. Enter your extension (or press # if calling from your extension)
  4. Enter password and press #

CONFERENCE CALLS

A Conference Calls allow up to eight parties in a conversation.

  • To set up a conference call:
    1. Get the first party on the line
    2. Press the FLASH button
    3. Dial next extension number or key in 9 and dial an outside number
    4. Inform the called party that this is a conference call
    5. Press the CONF button or key in FLASH * 4 to connect all party's
    6. Repeat steps 2,3 and 5 until you have reached all parties
  • To Reconnect to the conference if a called party refuses the conference, is busy, or does not answer:
    1. Press CONNECT button
  • To Drop Last Party You Added to the Conference
    1. Press FLASH
    2. Press * * 4

DO NOT DISTURB

  • To Block Incoming Calls
    1. Get dial tone
    2. Press Do Not Disturb (DND) or press # 5
    3. Hang up
  • To Cancel the Do Not Disturb
    1. Get dial tone
    2. Press Do Not Disturb feature button (DND) or press # # 5
    3. Hang up

CHANGING THE RING TONE

When first installed, your ROLM phone will have a predetermined ring. You can change you telephone's ring tone to any one of eight tones.

  1. Get dial tone
  2. Press * 5 7 2
  3. Key in single digit (1 - 8) to hear various tone pitches. The last digit you key in before you hang up will produce the ringing tone of your telephone.

STATUS LIGHTS

The red status lights (next to the keys) will alert you to the status of a line or feature. A line key status light may illuminate steadily, blink, or flash to signal the status of that line.

Sounds

Your phone makes different sounds to let you know what's going on. Rings occur on a line that you are not using to indicate that you have an incoming call. Tones occur while you are using your phone and provide information about calls and features.

PHONEMAIL

HOW TO ACCESS YOUR PHONEMAIL (FROM ON CAMPUS)

PhoneMail has two access numbers. The number you dial is determined by the last digit of your phone number.

* * *Even numbers dial 8080

* * *Odd Numbers dial 8090

  1. Dial your PhoneMail direct access number
  2. If calling from your own extension, press "#"
  3. If calling from a phone other than your own, dial your extension number and then press "#".
  4. Dial your password and press "#".

HOW TO ACCESS YOUR PHONEMAIL (FROM HOME OR OTHER OFF CAMPUS LOCATION)

PhoneMail has two access numbers. The number you dial is determined by the last digit of your phone number.

* * *Odd Numbers dial 458-8090

  1. Dial your PhoneMail direct access number
  2. When PhoneMail answers, dial your on-campus extension number and then press "#".
  3. Dial your password and press "#".

PHONEMAIL PASSWORDS

To change your password:

  1. Access your PhoneMail box
  2. Press 9 for Mailbox Options
  3. Press 3 to Change Your Password
  4. Enter your new password then press #
  5. Wait for PhoneMail to verify your new password
  6. Hang up or press * 7 6 to log off of the system

IDENTIFYING YOUR MAILBOX WITH YOUR NAME

  1. Access your PhoneMail box 
  2. Press 8 for Answering Options
  3. Press 4 to Record Name
  4. Press 1 to begin recording
  5. Press * # when done

RECORDING YOUR PERSONAL PHONEMAIL GREETING

  1. Access your PhoneMail box 
  2. Press 8 for Answering Options
  3. Press 1 for Change Greeting
  4. Press 1 for Regular Greeting
  5. Choose 1 (Ring, No Answer Greeting) OR 2 (Busy Greeting)
  6. Record Greeting
  7. Press * # when you complete the recording

LISTENING TO YOUR PHONEMAIL MESSAGES

  1. Access your PhoneMail box 
  2. Press 3

To Move Ahead or Back in Your Message:

  • To skip forward to the next message introduction press * 2
  • To skip back to the previous message introduction press * 7 2
  • To replay the entire message press * 7 3
  • To replay the previous eight seconds of the message press * 7 8
  • To move ahead eight seconds into the message press * 9 8

WHAT TO DO AFTER YOU LISTEN TO YOUR MESSAGE

After you listen to a message you can:

  • Press 6 to delete the message OR
  • Press 4 to save the message OR
  • Press 7 3 to replay the message

After you delete or save a message you can:

  • Press 1 to record and send an answer to the message sender OR
  • Press 7 0 to call the person who sent you the message OR
  • Press 9 to forward the message to another extension OR
  • Press # to continue to the next message

FUTURE DELIVERY (USING PHONEMAIL AS AN APPOINTMENT REMINDER)

You can use the Future Delivery function of VoiceMail to leave someone (yourself included) a message about important future appointments. At the time you decide, the message will be placed in the proper PhoneMail box.

  1. Access your PhoneMail box. (See How to Access Your PhoneMail Box)
  2. Press 1 for Record
  3. Record message and press * #
  4. Enter an extension number (your own if this message is for you) and press # #
  5. Press 3 for Special Delivery
  6. Press 4 for Future Delivery and press # #
  7. Press 1 for One-Time Delivery
  8. Press the appropriate numbers for the Month and press # #
  9. Press the appropriate numbers for the Date and press # #
  10. Press the appropriate numbers for the Time and press #
  11. Choose 1 for AM or 2 for PM and press #
  12. Press # to say that the schedule is correct
  13. Press # to complete the operation

MARKING A PHONEMAIL MESSAGE AS URGENT

The PhoneMail system gives you the option of marking a message as "Urgent". The recipient receives an indication before listening to the message that the message is urgent. Urgent messages appear at the beginning of the new message queue.

To Mark a Message as Urgent After Being Answered by Phonemail Record your message Press * # 3 and then hang up.

To Send an Urgent PhoneMail Message Without Calling the Recipient Directly:

  1. Access your PhoneMail box.
  2. Press 1 for Record
  3. Record message and press * #
  4. Enter an extension number and press # #
  5. Press 3 for Special Delivery
  6. Press 3 for Urgent and press #

FORWARDING A PHONEMAIL MESSAGE

After saving or deleting a PhoneMail message, you can attach comments to it and forward the message and comments to one or more extensions. The original message follows your comments. To forward a message:

  • Save (Option 4) or Delete (Option 6) the message
  • Press 9 to Forward
  • After you hear the tone, record your comments, which go if front of the message you want to forward
  • Dial the extension you want to forward the message to
  • Press # each time you complete dialing an extension
  • Press # again to send the message through regular deliver

CHANGE TO ABBREVIATED PHOMEMAIL PROMPTS

When you become more familiar with the PhoneMail system, you may want to select abbreviated prompts. To change to abbreviated prompts:

  • Access your PhoneMail box
  • Press 9 for Mailbox Options
  • Press 2 for Prompt Level
  • Press 2 for Abbreviated Prompts
